Setting-up Term-Time only Children


If some, or all, of your children only attend during term-time, you will need to set them as 'Term-Time' children before scheduling their sessions.

To set a child as 'Term-Time only', do the following:
  1.  Click on the Children button and select 'Child Summary': 



  2.  Select a child from the list and click on the 'Misc Details' tab.
  3.  Select 'Term Time' from the dropdown list:



  4.  Click on the 'Edit'  button.
  5.  Select the 'Term Time Booking' checkbox
  6.  Select the term from which the child will begin attending term-time only.



  7.  Click on the 'Save' button
     Please note: If the child already has regular sessions booked, upon saving you will see the following alert:



    If you click on the 'Yes' button the system will delete any sessions which have been scheduled in non-term-time periods (e.g. half terms) from the term you selected, this can result in credit notes being produced if you have already invoiced the child's parent/carer for those sessions

    For example:
    If I have the following term dates set-up: 
    Spring Term 2020 Part 1: 06/01/2020 to 14/02/2020
    Spring Term 2020 Part 2: 24/02/2020 to 03/04/2020 

    And 'Today' is the 21st February 2020. 

    If I set a child, who has regular sessions booked, to a term-time only booking from the term 'Spring 2020 Part 2' then the system will delete all sessions that have been booked in all non-term-time periods from 24/02/2020 (e.g. summer half-term in May and summer holidays from end of July to beginning of September). As I have not yet invoiced the child's parents for these sessions yet nothing else will happen. 

    If I set a child, who has regular sessions booked, to a term-time only booking from the term 'Spring 2020 Part 1' then the system will delete all sessions that have been booked in non-term-time periods from 06/01/2020. As I have already invoiced the child's parents for February's sessions, the system will credit note this invoice because I will have charged for sessions during the February half-term which the child has not attended.
