Funding Groups

Funding Groups

Before you are able to assign funding to a child you must create your funding groups.
Funding groups control the amount of funding a child can have over the course of a week.

To set-up your funding groups, do the following:
  1.  Click on the Settings button and select 'Funding':

This will display the Funding page:

  2.  Click on the 'Add'  button.
  3.  Enter the name of your funding group (e.g. 2 Year Funded)
  4.  Enter the maximum number of hours & minutes funding this group can have each week (e.g. 15 hours)
  5.  Enter the maximum number of hours funding children are allowed over each day of the week. Once you have reached the maximum hours for the week, enter that for any remaining days of the week. For example:

In the example above, a child assigned to this funding group would be eligible for 5 hours funding if they attended one day a week; if the child attended for 2 days a week then they would be entitled to 10 hours of funding; if they attended for 3 days a week then they would be entitled to 15 hours of funding.
As 15 hours is the maximum amount of funding this group is eligible for, if the child attended for 4 or 5 days a week they would still only be eligible for 15 hours funding.

  6.  Click on the 'Save' button.
  7.  After creating your funding groups, before you are able to assign them to children, you need to add your term dates. Click on the 'Details'  button.

  8.  Click on the 'Add Term' button.
  9.  Enter the name of the term.
  10.  Enter the start and end date of the term. The number of weeks & days will be automatically calculated for you.
  11.  Enter your Headcount date for this term.
  12.  Leave the 'Term Voucher Value' field blank.
  13.  Enter the hourly rate you receive from your LEA in the 'LEA Hourly Value' field.
  14.  If you charge a different amount per hour than the amount you receive from your LEA, enter this amount in the 'Hourly Voucher Value' field.
  15.  Add the dates of any days which are not eligible for funding (e.g. half term or holiday dates)

    1.  If you want to add a single day (e.g. a bank holiday) ensure the 'Single' option is selected, select the date and click on the 'Add'  button; the date will be added to the term's non-qualifying days list. For example:

    2.  If you want to add a consecutive run of days (e.g. a half term) select the 'Multiple' option, select the start and end dates and click on the 'Add'  button; the dates will be added to the term's non-qualifying days list. For example:

  16.  Click on the 'Save' button.
  17.  Repeat steps 8-16 until you have added all of your term dates.
  18.  After setting-up your funding groups you will need to assign them to eligible children by going to Children > Accounts > Discounts.
Take a look at the Add Discount to a Child's Account article for help with this.
