Credit Notes

Credit Notes


If you have generated an invoice and noticed it is incorrect, you will need to raise a credit note before you are able to generate a new invoice.

To credit note an invoice, do the following:
  1.  Click on the Children button and select 'Accounts':



  2.  Select a child from the list and click on the 'Credit' tab:



  3.  Click on the 'Raise Credit Note'  button. 
     The Credit Notes page will be displayed:



  4.  Select a reason for crediting the invoice from the 'Credit Note Reason' dropdown list. 
     You can customise the options that appear in this list by going to Settings > Data Lists and selecting 'Credit Note Reason' from the dropdown to view / edit the data list.
  5.  Select the date of the credit note; today's date will be selected by default. 
  6.  Enter a description if you wish.
  7.  Locate the invoice you want to credit in the table; by default the system will show the child's unpaid invoices, you can view the child's paid invoices by selecting the 'Paid Invoices' option.
  8.  Select the invoice by clicking on the  button.
  9.  A summary will be displayed:



  10.  If you want to print the credit note upon saving, select the checkbox underneath the table. 
  11.  Click on the 'Save' button.
  12.  The credit note will be listed in the 'Credit' tab of the child's account. For example:



  13.  On the 'History' tab of the child's account you will notice that the invoice which you credited is now coloured-in brown and the child's account balance has been updated. For example: 



  14.  You can now generate a new invoice for the child's account.
