Adding Session Types


Adding session types into the Settings section of the system makes it much quicker to schedule children's sessions as all of the times, meals and pricing information will be automatically selected for you! 

To add a session type, do the following:
  1.  Click on the Settings button and select 'Session Types':



    This will display the 'Session Types' page:



  2.  Click on the 'Add'  button. The form on the right-hand side of the page will be enabled:



  3.  Enter the name of the session type. 
  4.  Set the start and end time of the session; by default the start and end time will be set to your opening & closing times.
  5.  Select the checkboxes of any meals that are included during the session. By ticking the meal box, the meal cost will charge on top of the price of your session rate. The rates for these are populated in Settings > Configuration> Meal Costs. If you apply funding over the session, meal charges will continue to charge, but the session rate will be overridden by the funding.
  6.  Select whether you want to charge for the session hourly or charge a set amount.
     By default the 'Use Hourly Charge' option will be selected. If you want to charge a set amount for the session, select the 'Use Custom Charge' option.
    1. Hourly Charge
      Enter the hourly cost of the session for each age band. 
      If you do not charge a different amount based on the age of the child simply enter the hourly cost for one age group (e.g. 0 - 60). 
      If you have completed the 'Default Charge Bands' in Settings > Configuration, this will be entered into the form for you automatically. You can override these values if you wish.
      The total session cost will be calculated automatically based on the amount you enter in the 'Hourly' field and the length of the session upon saving. 

    2. Custom Charge
      Enter the amount you want to charge for the session for each age band.
      If you do not charge a different amount based on the age of the child simply enter the hourly cost for one age group (e.g. 0 - 60). 

  7.  The FE Rate shows how much it will cost to offer this session type as a funded session; the amount in this box is filled in automatically and will be the same as the hourly cost or the custom charge. 
  8.  Enter any notes about the session type if you wish.
  9.  Click on the 'Save' button. The session type will be listed in the table on the left-hand side of the page:



  10.  The session type will now be available for selection when scheduling a child's sessions.
